Orders, Discounts and Charges -- Figure It Out, Please!
Ordering books is not just figuring out the price for the book with any discount you may receive. There are also other pesky charges such as processing, cataloging, shipping, etc. Some of these may be a per item charge while others may be based on a percentage of the cost of the item. When you order books and use Alexandria's Orders module, you may now add these costs in when making your order and Alexandria will do the computation for you.

Go to Show on the menu bar and click on Orders.

Click on the Actions (gear) icon at the bottom of the left pane and select New Record.

Enter some kind of text to identify this order (i.e. B&T Fall Order) and click OK. Later, when you have a PO, you can use Rename in the left Actions menu to change it to the PO number.

Fill in all information on the Order tab.

Add your items to order using the Line Items tab.

After you have entered all your items and you are ready to issue your order, on the Summary tab at the bottom of the right pane, click on Charges button.

Click on the appropriate button, fill in the Value and enter a reason. For instance, if cataloging costs $1.00 per item, click on the Amount per Item button, enter 1.00 in the Value field and enter Cataloging in the Reason field, then click Add to Total. If shipping is a percentage, then click on Percent of Order and enter percentage in Value, enter reason as Shipping and click on Add to Total. The window closes between each charge, so you will need to repeat this step until you have all charges recorded. The Log will show you what charges have been added.

If there are discounts that may be applied to this order, click on the Discounts button and enter the information for the discount.

Click on Save.
