Circulation Groups -- New to You

Have you ever had an English or Reading teacher bring a class in to check out books, and then want a list of those students and the books that they checked out during that library visit -- but the students are from various homerooms? Impossible? No!

A new feature called Circulation Groups has been added to Alexandria in version 6. Circulation Groups are predetermined groups set up in your System Preferences. When a Circulation Group is selected at the time items are being checked out, Alexandria will record the patrons and the items that they check out at that time under this Circulation Group. This feature will allow you to print a list of items currently checked out to patrons, but it will not enable printing of items checked out when the Circulation Group is not selected nor will it provide a means to print lists of the patrons and items after the items have been checked in. This feature is particularly helpful when you or the teacher want to ascertain that every student has checked out a book during this library period.

To set up a circulation group:

  • Go to Edit on the menu bar and select System Preferences.

  • Select Circulation Groups in the Circulation category.

  • Click on the Add (+) icon in the bottom-left corner of the window.

  • Enter a Circulation Group Code. (Make it short, yet meaningful -- i.e. Jones-4)

  • Enter a description in the Description field (i.e. Mrs. Jones 4th Period).

  • Click on Save.

  • Repeat until you have entered all the circulation groups that you desire to add.

To use a circulation group during Check Out mode:

  • Type CG in the command line of the Circulation window.

  • Select the desired Circulation Group from the list that appears.

  • Check items out as usual.

Type CG and a new Circulation Group (i.e. CG MAIN) to switch to a different circulation group or just type CG and press <enter> to exit the Circulation Groups mode.
