Scheduled Events Preferences

Summary: Prior to version 5.5.2.2 of Alexandria, archives and rebuilds could be scheduled to run on a day and time indicated by the user.  These preferences have now been combined under the Global Scheduled Events preferences and now include being able to schedule exporting and importing of patron information shared between a Student Information System and Alexandria in a way similar to SIF.  You can also set up notification emails to be informed when the Rebuild or Archive are complete.

Archives are a copy of the Data file that can be used to restore your data if there is an issue.  The difference between Archives and Backups is that backups are saved to an external medium, such as a flash-drive, CD, Zip drive, etc.  The archive is defaulted to save to the same machine as the Data Station, which can be an issue if something happens to the Data Station machine.  It is a nice safety net or can be set to save to a different location.

To Schedule Archives:

·  Select Preferences from the Edit drop-down menu.

·  Use the Library Info drop-down menu to choose Scheduled Items and change the Local drop-down menu to Global drop-down menu.

·  Set the days, time, and location for saving copies of the data using the appropriate fields, drop-down menus, etc.

NOTE: By default, archives are saved on the same machine that the Data Station is installed on.

·  Use the two buttons at the bottom of the tab to either open the Archive folder or restore the Data folder from an archive.

Rebuilds are used to check data for corruption and to also verify data.

To Schedule Rebuilds:

·  Select Preferences from the Edit drop-down menu.

·  Use the Library Info drop-down menu to choose Scheduled Items and change the Local drop-down menu to Global drop-down menu.

·  Click on the Rebuild tab.

·  Indicate the day and time to run Rebuilds.  You can also indicate the frequency.  Once a month is recommended.

The next tab is labeled Export.  This allows users to export or import patron information to be shared with a student information system.  You can use the Export Schedule and Import Schedule tabs to set the day and time for the export or import.  The bottom portion of the window can be used to set the location for the Export and Import and the name for the files.  The buttons at the bottom allow users to set the fields that will be exported along with being able to do an export or import manually.

To Schedule Patron Exports and Imports:

·  Select Preferences from the Edit drop-down menu.

·  Use the Library Info drop-down menu to choose Scheduled Items and change the Local drop-down menu to Global drop-down menu.

·  Click on the Export tab.

·  Set the Export Schedule and Import Schedule settings as desired.

·  Click on the Set Export Fields button to indicate which fields to export.

·  Click Save to save changes or Revert to cancel the changes made.
