Relative Dates for Quick Reports
Summary: Quick Reports are a great way to save the formatting for a report that you use on a regular basis. But how about those statistical reports that you run infrequently? It can be easy to forget exactly how you set these reports previously. Alexandria version 5.5 offers a new feature, Relative Dates, to help you create Quick Reports for those selected-by-dates that change each time you run them. This tip will outline how to use these relative dates so that you no longer have to edit the dates in a quick report prior to running it.
The codes to use:
- Today - %today or %td
- Yesterday - %yesterday or %yd
- Tomorrow - %tomorrow or %tm
- Last Week (7 days ago prior to today) - %lastweek or %lw
- Next Week (7 days from today) - %nextweek, %nw
- Last Month (30 days ago prior to today) - %lastmonth or %lm
- Next Month (30 days from today) - %nextmonth or %nm
- Last Year (365 days prior to today) - %lastyear or %lw
- Next Year (365 days from today) - %nextyear and %nw
Note: You can also add or subtract a number of days, e.g., "%td - 5" or "%ly + 20".
To set a report using Relative Dates:
For this example, let's say that we want to run a list of copies that have been added during the past year.
- Select Item Reports from the Reports menu.
- Use the Report Name drop-down menu to select Copy List.
- Leave the Sort By menu set to Copy Call Number or use some other copy criteria, such as Funding Source, etc.
- Set the Select By drop-down to Accession Date.
- Enter the Starting Date as %last year or %ly and the Ending Date as %today or %td. This will give you a list of copies added from the day you run the report to a year prior to that date.
- Click Create Quick Report to save these settings for later use. Click Print to run the report.
- After clicking Create Quick Report, give the report a name and then click OK to save the report formatting.
To run a Quick Report:
- Choose Quick Reports from the bottom of the Reports drop-down menu.
- Click on the desired report and click Print. You can also double click on the report to have it print to screen.
