Using Calendars to Your Advantage
Summary: The Calendar is an important part of setting Alexandria up for the new school year. In addition to indicating when your library is closed, you can set up Period Due dates when everything needs to be turned in and special alert notes as reminders of meetings, special schedules, etc.
- Select Preferences from the Edit menu.
- Using the drop-down menu labeled Administration, choose Calendars.
- You can use the forward and back arrows on either side of the House icon or the drop-down menu to move to the desired month.
- To close a single day, click on the day once. To close a day of the week for an entire month, click on the label for that day (e.g. Sun, Mon, Tue, etc.). To close a day of the week for the entire calendar year, hold down the Alt/Option key while clicking on the label for that day. This quickly closes days like Saturday and Sunday when your library is always shut down.
- At times of the year when you would like everything returned to the library, you can set a Period Due date, by clicking on the desired date twice.
- Once you have the calendar set the way you would like, click Save.
To add or duplicate a calendar:
- Select Preferences from the Edit menu.
- Using the drop-down menu labeled Administration, choose Calendars.
- Give the new calendar a name.
- To duplicate the current calendar's settings, click on the Duplicate Current Calendar check box.
- The Calendar drop-down menu will now show the new calendar as the current one.
- When you are finished adding and modifying the calendars, click Save.
Note: You must change a patron policy to use this calendar for the date settings to have any effect.
To add notes to a calendar:
- Select Preferences from the Edit menu.
- From the drop-down menu labeled Administration, choose Calendars.
- Hold down the Shift key while clicking on the day you want to add the note to.
- Type in the desired message in the appropriate note area. You can add a Librarian Alert Note, Researcher Alert Note, or a General Date Note. The alert notes will come up as a reminder when the indicated client type is launched on that date. The General Date Notes just stay on the date as a reference.
- When you have finished adding the desired notes, click Save.
