Combining Titles

Have you ever done an import, only to find that items that were copies of titles already in your catalog were added as a new title record instead of being added as additional copies? Then this command will help you combine the two titles into one with multiple copies.

First, note the barcode or barcodes that are on the item you want to remove. Then find the item where those copies should be. From the Items menu at the top of the window, choose Move Copy to this Title. Usually this should be checked; otherwise, this procedure can result in items in your data that don't have copies and create confusion for your patrons.

Type or scan the barcode of the copy you want moved here. Once you click on OK, the copy will be moved to the current title and if the checkbox for removing the title was checked, then the previous title will have been removed if the last copy is gone. If there were more copies on that title that must be moved, then repeat the procedure until all copies are on the desired titles."

Remember to always back up prior to doing an import and should you have questions on why Alexandria does or doesn't merge certain records, please contact Technical Support and have the original records and the imported records ready for their review.
